Rebook a practitioner’s calendar

When a practitioner is unavailable, Lyngo can call affected patients, explain the change and help them move their appointment.

This workflow is available for supported Cliniko, Nookal Direct and PracSuite clinics. You’ll need organisation admin access to start it.

Start a rebook automation

  1. Go to Workflows and select Rebook practitioner’s day.

  2. Select Run this workflow.

  3. Choose the clinic, affected practitioner and appointment date. Use All day or enter a specific time range.

  4. Review the patient list. Patients without a valid phone number will not be called.

  5. Set the rebooking rules for each practitioner:

    • Practitioner: Same practitioner, specific practitioners or any practitioner.

    • Appointment type: Same appointment type or selected types.

  6. Choose when Lyngo should start calling, how many days to keep trying, the maximum attempts and the interval between attempts.

  7. Add any useful Call context, such as why the practitioner is unavailable.

  8. Review the automation. You can optionally select Receive a test call to hear the draft call without changing any appointments.

  9. Select Start automation.

What happens during a call?

Lyngo first confirms it is speaking with the correct patient before sharing any appointment details. It then:

  • Explains that the original appointment needs to be moved.

  • Searches the clinic’s live availability within your rebooking rules.

  • Offers suitable times and asks the patient to confirm their choice.

  • Updates the practice management system only after the patient clearly agrees.

If the patient asks to cancel instead, Lyngo confirms the request before cancelling the affected appointment. If voicemail is available, Lyngo leaves a callback message. Unanswered or interrupted calls may be retried within the schedule you set.

If a patient calls the clinic back from their number on file while the appointment can still be changed, Lyngo can recognise the rebooking context and continue helping them.

Track progress

Open Workflows → Rebook practitioner’s day to view your automations. Select one to see:

  • Overall progress and outcomes.

  • Each patient’s call status, number of attempts and last dial.

  • Whether the patient rebooked, cancelled, declined, received a voicemail or still needs help.

When the automation finishes, Lyngo creates follow-up tasks for unresolved patients. To stop an active automation, select Cancel automation. Pending calls are cancelled immediately, while calls already in progress are allowed to finish.

If the workflow appears as Coming soon or Unavailable, contact Lyngo support to check whether outbound rebooking is enabled for your clinic.
